Checked on 21 October 2026. Software pages change often. Every competitor fact below comes from that company’s own website on that date, and the sources are listed at the end. If you are reading this months later, check the prices again before you decide.

Most “Programa alternatives” lists are written for American studios. They quote dollar prices and say nothing about VAT, Xero or buying from a supplier in Milan while your client pays in sterling. This guide is for UK studios that work with international suppliers and clients. It starts with what Programa does well, because it does a lot well. Then it sets out what to compare and walks through the realistic options.

What Programa does well

Programa’s own site and product updates show a strong product in several areas.

  • Specification and schedules. Programa is built around FF&E schedules and specifications. Its feature pages describe shared schedules that clients, builders and trades open through live links, so nobody works from an out-of-date PDF. Trades and builders can also scan a QR code to see the latest specification and installation details.
  • Web Clipper. Its November 2025 product update says the clipper’s Smart Fill pulls images, dimensions, finishes, descriptions and pricing from a supplier’s product page.
  • Client dashboard and approvals. The UK pricing page lists “Client Dashboard & approvals” alongside specifications, presentations, project management, mood boards, a product library, time tracking, procurement, quoting, and invoicing and payments.
  • Accounting links. Programa has a listing on the Xero App Store. It also has a QuickBooks integration, which its blog says creates draft invoices in QuickBooks, keeps payment status in step, matches client contacts and imports tax rates.
  • Tax and currency settings. Programa has published updates on advanced tax settings (multiple or combined tax rates, tax-inclusive or tax-exclusive pricing, tax switched on or off per product) and on a default currency and measurement units that can be overridden per project.
  • Procurement Hub. A newer feature gathers procurement deadlines from all projects into one view, sorted by urgency, lets you mark them complete, and lets you attach quotes, purchase orders and invoices to products in your schedules.

Its pricing is simple, too: one plan, with extra seats from £23 a month. If your work is mostly specification and presentation, and your accounting needs are simple, it may already be the right tool.

Why UK studios look elsewhere

Studios rarely leave a tool because it lacks features. They leave because it doesn’t match how their projects go wrong. For UK studios buying internationally, problems tend to show up in a few places:

  • A long-lead item is ordered late, and nobody notices until the install date is already at risk.
  • A supplier invoices in euros, the client pays in pounds, and the exchange rate on the client invoice is worked out by hand.
  • Purchase orders and invoices are typed into Xero a second time, and VAT is checked line by line in a spreadsheet.
  • Contractors need drawings and item details, and they should not see your prices.
  • The per-seat bill grows as the team grows.

Each of these can be checked in a trial.

What to compare

1. Install-date risk, not just a status column

Plenty of tools let you mark an item as ordered, shipped or delivered. The harder question is whether the tool will warn you before an item becomes a problem. To do that, it has to know the install date and the supplier’s lead time, and then count backwards to an order-by date. For the method, see our guide to calculating order-by dates, and for what happens when a supplier slips, our guide to managing supplier delays.

Programa’s Procurement Hub sorts deadlines by urgency. Its launch post does not say how those deadlines are worked out, or whether lead times and install dates feed into them, so check this in a trial. Set up one real item with a twelve-week lead time and an install date ten weeks away, then see what each tool tells you.

2. Xero and VAT

Ask exactly which documents go to Xero. Programa’s Xero listing says invoices go from Programa to Xero, accounts come from Xero, and contacts sync both ways. It says that once you send an invoice through Programa, the draft in Xero moves to “Awaiting Payment”. The listing does not mention purchase orders or bills. That doesn’t prove they are missing, but if you want POs in Xero, ask before you commit.

Also check your Xero plan. Xero’s UK pricing page lists “Use multiple currencies” on Comprehensive (£55 a month after the introductory period) and Ultimate (£70 a month) only. Project time and cost tracking is on Ultimate only. If your studio software sends euro documents to Xero, you will need one of those two plans. Our Xero setup guide for interior designers and our guide to VAT for interior designers cover this in more detail.

3. How currency actually works

“Multi-currency” can mean very different things. Ask three questions:

  1. Can a purchase order stay in the supplier’s currency while the project is in pounds?
  2. When you invoice the client, which exchange rate is used, and is it recorded on the invoice so it doesn’t change later?
  3. Does Xero receive each document in its own currency?

Programa’s currency update describes setting a default currency and overriding it per project. It doesn’t describe converting between currencies, so test that if you buy from overseas. Our guide to buying furniture from overseas suppliers explains why a frozen rate matters.

4. Contractors and trades

Programa shares live schedules with builders and trades through links and QR codes, which is designed for use on site. The question to test is control: can each trade see only its own drawings, files and items, with no prices? See how each tool handles a joiner and an electrician on the same project.

5. AI, and who approves it

Many tools now include AI. The useful question is what it does with your data and whether anything goes out without a person checking it. Ask whether AI drafts emails or sends them, and whether it suggests changes or makes them. A clipper that reads a supplier’s page saves typing. An assistant that changes a schedule without asking creates work.

Price at 1, 3, 5 and 8 users

Programa’s UK pricing page lists one plan, Pro, at £55 a month with one seat included and extra seats at £23 a month each on annual billing, or £69 and £29 on monthly billing. Techstyles is £49 per user per month for users one to five and £39 per user from the sixth, excluding VAT.

UsersPrograma Pro (annual billing)Programa Pro (monthly billing)Techstyles (monthly, ex VAT)
1£55£69£49
3£101£127£147
5£147£185£245
8£216£272£362

To be plain about it: for any team of three or more, Programa costs less per month on either billing option, and at two people it costs less on annual billing and the same (£98) on monthly. If price is your main deciding factor, that matters. The case for paying more depends on whether the criteria above save more time, or prevent more costly mistakes, than the difference. Price one late long-lead item in your own studio, including any second install visit, and set that against the gap in seat fees.

Check the trial length too. Programa’s pricing page offers a 7-day trial with no card. Seven days is short for testing procurement, so have a live project ready to load on day one.

The realistic options

Stay on Programa and fill the gaps

If Programa suits your specification work, you can keep it and run a separate order-by sheet for long-lead items. Our free FF&E schedule template includes required-by and order-by columns. The cost is a second place to keep up to date, so give it one owner and review it weekly.

Design Manager

Design Manager’s pricing page lists $79 per user per month, with core features included: specifications, purchasing, accounting, project management, online payments, time billing, a product clipper and an iPhone app. Its accounting is built in, which some studios will prefer to a separate ledger. Its own page says it is “optimized for US-based firms” and that some features are not designed for use elsewhere, so a UK studio should look closely at VAT handling and dollar pricing before choosing it.

Houzz Pro

Houzz Pro runs a UK site and publishes UK-focused guidance for designers, including a guide to pricing interior design services. Check its current UK plans and accounting links directly, as we have not verified them for this guide.

Spreadsheets plus Xero

Plenty of good studios still run on a well-kept spreadsheet, Xero and email. It costs little, and you control everything. It starts to struggle when you have several projects running at once with long lead times, when you buy in more than one currency, or when two people edit the same file. See our purchase order template if you take this route.

Techstyles

Techstyles was built around the criteria above. Every FF&E line is scored against its install date as blocked, at risk, watching or OK, with an order-by date counted back from the supplier’s lead time, and each studio sets its own thresholds. Purchase orders stay in the supplier’s currency, client invoices convert at the day’s rate frozen on the invoice, and invoices and purchase orders go to Xero in their own currencies, with drafts arriving as drafts and paid status coming back. The contractor portal shows each trade only its own drawings, files and items, with no prices. It does not offer a QuickBooks integration or a supplier marketplace like Programa’s Trade Portal, which is currently available for Australian and New Zealand projects only. If you depend on either, that counts against it.

How to decide in two weeks

  1. Pick one live project with at least one overseas supplier and one long-lead item.
  2. Load the same ten items into each tool you are trialling, with real lead times and the real install date.
  3. Raise one purchase order in the supplier’s currency and push it to a test Xero organisation. Check what arrives.
  4. Invoice the client in pounds and note which exchange rate was used and where it is recorded.
  5. Share with one contractor and confirm what they can and cannot see.
  6. Cost the seats for your team now and in two years.

Write the results down in a simple table. The tool that wins is the one that handles your worst week, not the one with the best demo.

If you want to run the two-week test on Techstyles, the 30-day trial needs no card, and the side-by-side comparison sets out the differences.

Questions

What is Programa used for?
Programa is interior design software for FF&E schedules and specifications, presentations, mood boards, a product library, a client dashboard with approvals, time tracking, procurement, quoting, and invoicing and payments.
How much does Programa cost in the UK?
On 21 October 2026, Programa’s UK pricing page listed one plan, Pro, at £55 a month with one seat included and extra seats at £23 a month each on annual billing, or £69 and £29 on monthly billing, with a 7-day free trial and no card required.
Does Programa integrate with Xero?
Yes. Programa has a Xero App Store listing. It sends invoices to Xero, pulls in Xero accounts and syncs contacts both ways. The listing does not mention purchase orders or bills. Programa also has a QuickBooks integration.
Is Techstyles cheaper than Programa?
Only for a single user. Techstyles is £49 per user per month (ex VAT) for users one to five and £39 from the sixth, so at three, five or eight users Programa’s listed price is lower on either annual or monthly billing.
What should a UK studio compare when choosing an alternative?
Compare install-date risk and order-by dates, exactly which documents sync to Xero, how supplier currencies and exchange rates are handled, what contractors can see, whether AI actions need approval, and the total cost at your team size.
