Short, plain answers on how Techstyles works today.

Procurement and install-date scoring

The FF&E schedule, purchase orders and delivery.

How procurement works
How is each item scored?

Every item is scored blocked, at risk, watching or OK. The score comes from the supplier lead time, the date the piece has to be on site, and the order-by date those two imply. It moves the moment a lead time or the install date changes.

How do products get onto the schedule?

Clip a product from any supplier's website with the web clipper, or add trade-only and bespoke pieces by hand. The price, finish and dimensions land on the line for you to check, and you add the lead time.

How does an approved item become a purchase order?

Once the client approves a selection in the portal, you raise the purchase order from it, in the supplier’s currency with the VAT carried through and synced to Xero. The specification and the order stay one record, so they cannot drift apart.

Which columns does the schedule have?

Product, supplier, quantity, unit and total price, status, client approval, the purchase order and billing steps (created, sent, paid), logistics, ETA, lead time, required-by date, order-by date, tracking number and contractor access.

Projects

Phases, tasks, drawings, time and the install date.

How projects work
How do phases work?

You plan in phases on a visual timeline that covers the design stages and the install. Phases are yours to name, reorder and reuse, and budget, tasks, orders and milestones update as the work moves.

How are drawings handled?

Drawing packages are versioned and move through a five-stage approval. They are shared with contractors from the project, so the version a trade builds from is the version you signed off.

Can we track time against a project?

Yes. Start a timer on any task and the hours roll into time tracking and on to billing.

Finance and Xero

Estimates, invoices and purchase orders with UK VAT, in GBP and other currencies.

How finance works
Does the Xero sync go both ways?

Yes. Invoices and purchase orders raised in a project go to Xero with their VAT treatment intact, and payment status comes back, so a paid invoice shows as paid on the project. The sync is included on every plan.

How is UK VAT handled?

Estimates, purchase orders and invoices carry UK VAT on each line, and the same VAT position carries through to Xero. Techstyles keeps the project and the books in step; it does not file your VAT return.

Does it work in other currencies?

Yes. The studio has a default currency and each project its own. A purchase order stays in the supplier’s currency; an invoice converts each line into the project currency at that day’s rate and freezes it, so a later swing never changes an issued invoice. Xero receives each document in its own currency.

Can I raise an invoice from an estimate?

Yes. An approved estimate becomes an invoice in one click, with its lines and VAT already on it. It appears in the client portal with its status and a PDF.

We use QuickBooks or Sage. Does that work?

Everything except the accounting sync, which is Xero only today. QuickBooks, Sage and FreeAgent are on the list, with no date we would ask you to plan around.

Client portal

Selections, approvals, invoices and messages for your clients.

How the client portal works
Do clients need an account or a password?

No. A link from you opens their project directly. Clients who prefer a password can sign in with one, and each client only ever reaches their own project.

Link to this answer
How do clients approve selections?

Selections are grouped by room. For each piece the client can approve it, send it back for review, reject it, or say they will order it themselves. Review and reject ask for a reason, and the decision is recorded against the item with the date.

Link to this answer
What can a client see?

A dashboard, procurement, finances, documents, drawings and messages. Procurement, documents and messages can be switched off per project. Invoices show their status and download as a PDF.

Does it cost extra to invite clients?

No. Clients are not seats: invite every client on every project at no charge.

Contractor portal

Drawings, files and items for the trades on site.

How the contractor portal works
Do contractors need to install an app?

No. The portal opens in a browser on a phone or laptop. Trades sign in with an email and password, or with a six-character access code you give them.

Link to this answer
What does a contractor see, and what stays hidden?

The drawings, files and items you share with them, and a conversation with the studio. Prices, budgets and margins are never shown to a trade.

Link to this answer
How do drawing revisions work?

Every drawing carries its revision and issue date. A trade can raise an issue on an item or request a revision with a written reason. When you issue the new drawing, the earlier one is marked superseded and kept in the history.

Can we keep insurance documents on file?

Yes. Each trade uploads their public liability insurance and trade certificate with the expiry dates. Each document shows as valid, expiring soon, expired or missing.

Techstyles AI and Atelier

Help with the admin, inside the projects you already run.

How Techstyles AI works
What does Techstyles AI actually do?

Atelier, the Techstyles assistant, answers questions about any project (what is late, what is unpaid, who is overloaded), drafts client and supplier emails and proposes changes you confirm. Alongside it: a daily brief each morning, inbox summaries from Gmail, meeting notes from a recording or transcript, procurement risk insights, and Smart Fill in the Product Clipper.

Link to this answer
Does it send anything without my approval?

No. Atelier drafts emails for you to copy and send yourself; it never sends them. Changes to tasks, order dates, purchase orders and invoices happen only when you confirm, and suggested tasks become real only when you accept them.

Link to this answer
Is Atelier a chat?

Yes. Atelier is a chat inside Techstyles that answers from your own project records. It remembers each conversation, so a follow-up question keeps its context.

Is our data used to train AI models?

No. Your data is never sold and never used to train AI models.

Link to this answer
Does Techstyles AI cost extra?

No, it is included. Atelier, meeting notes and Smart Fill draw on a monthly AI allowance; the daily brief, inbox summaries and risk insights do not.

Account and billing

The trial, the price, moving across and your data.

See pricing
How does the per-user price work?

Each of your first five users is £49 a month, and each user from the sixth is £39, excluding VAT. You pay only for active users and can add or remove them at any time. Annual billing is available.

Link to this answer
What happens after the 30-day trial?

The trial includes every module and needs no card. Afterwards, add a card to carry on with everything kept as it is. If you do nothing you are not charged: the account pauses, and you can still sign in to export your data.

Link to this answer
Will you move our projects across?

Yes. We move your projects, contacts, suppliers and product library for you, and set your team up before you rely on it.

Link to this answer
Can we export our data, and where does it live?

Schedules, projects, contacts and invoices export as CSV or PDF at any time, including after you leave. Data is encrypted in transit and at rest and handled under UK GDPR. There is no contract: pay monthly and cancel any time.
