Add more items to a draft purchase order

Add items from the schedule to a purchase order you haven't sent yet, instead of raising a second one.

Who can do this: adminsUpdated

If the client approves another item from the same supplier before you've sent the order, add it to the existing draft.

Before you start

  • The purchase order's status is Draft.
  • The items you want to add are from the same supplier and in the same currency as the purchase order, and aren't on another purchase order.

Steps

  1. Open the project and select Finance, then Purchase orders.
  2. Click the purchase order's number to open it, then click Edit.
  3. Click Add Item under the lines. If you have unsaved changes, choose Save & continue or Discard & continue.
  4. The schedule opens with a banner, for example Adding items to PO-401 — Aldwych Upholstery (GBP). Only items that can go on this purchase order are listed.
  5. Tick the items and click Add N items.

To leave without adding anything, click Back to PO.

What happens next

  • The items are added as new lines at their current price, and the total is updated.
  • You go back to the purchase order.
  • If Xero is connected, the updated purchase order is sent to Xero.

Good to know

  • New lines can't be typed in by hand. Every line comes from the schedule.
  • If nothing can be added, you'll see No items can be added to this purchase order. Check the items are approved, not already ordered, and from the same supplier and currency.
  • Once a purchase order has been sent, raise a new one for extra items.
