Create an invoice from purchase orders

Bill a client for the FF&E items on one or more purchase orders in a single step.

Who can do this: adminsUpdated

When items have been ordered from suppliers, you can turn their purchase orders into a client invoice. Every item on the orders, and each order's delivery charge, goes onto one draft invoice.

Before you start

  • You need permission to edit finance.
  • The purchase orders must all belong to the same project, and that project must have a client.
  • None of the items can already be on another invoice.

Steps

  1. Go to Finance (or the project's Finance tab).
  2. Tick the purchase orders you want to bill. Don't tick any invoices.
  3. In the bar that appears, click Create invoice from 2 POs (the number matches your selection).

What happens next

  • A Draft invoice is created for the project's client.
  • Prices are converted into the project's currency if a supplier billed in another one, and the exchange rates are fixed on the invoice.
  • The project's VAT rate, FF&E rate and "prices include VAT" setting, and your default bank accounts, are copied onto the invoice.
  • The items are marked as invoiced in the procurement schedule.
  • If Xero is connected, a draft copy is created in Xero.

Good to know

  • If an item is already on an invoice, or the client is supplying it themselves, Techstyles stops and tells you which.
  • If you tick an invoice as well, the button doesn't appear.
  • If you change your mind, delete the draft. The items are released and can be invoiced again.
  • If a quantity goes up after the client has the invoice, bill the difference with a top-up invoice.
