See the history of an invoice or purchase order

Open a document's History to see every change, send, payment and unlock, who made it and when.

Who can do this: admins and managersUpdated

Every invoice and purchase order keeps a History: what changed, who changed it and when. It is useful when a client queries an invoice or a figure looks different from last week.

Before you start

  • You need permission to view finance.

Steps

  1. Open the invoice or purchase order.
  2. Click History at the top of the page.
  3. Read the list, newest first. Each entry shows who did it, how long ago, and what happened.
  4. Click Show N changes to see the old and new value of each field or line.
  5. Click Load older at the bottom to see earlier entries.

What is recorded

  • Created, edited and status changes, with old and new values
  • Sent, including "Emailed to …" with the addresses
  • Payments recorded and removed
  • Unlocks, with the admin's reason
  • Purchase order revisions
  • Credit notes, refunds and top-up invoices raised from an invoice
  • Changes made to match a purchase order or the procurement schedule
  • Voids and deletions
  • Changes that came from Xero, shown as made by Xero

Good to know

  • History can't be edited or deleted.
  • Hover over the time to see the exact date and time.
  • If the sheet says "Nothing recorded yet", the document hasn't changed since History was introduced.
