Find invoices and purchase orders

Filter, search and sort the Finance list, and read the four summary cards at the top.

Who can do this: admins and managersUpdated

The Finance page lists every invoice and purchase order you have access to, newest first.

Before you start

  • You need permission to view finance. Admins and managers have it by default.

Steps

  1. Select Finance in the sidebar.
  2. Choose All, Purchase orders or Invoices. Each shows how many there are.
  3. Type in the search box to narrow the list.
  4. Open the status filter and pick a status, or Flagged to see documents holding an item that needs review.
  5. Open the sort menu and choose, for example, Due Date (Nearest).
  6. Click Clear filters to go back to the full list.

Reading the summary cards

  • Outstanding: what clients still owe on Sent and Part paid invoices that are not yet past their due date.
  • Overdue: what is still owed on invoices past their due date that are not Paid or Void.
  • Paid this month: payments with a payment date in the current calendar month.
  • POs committed: the total of the purchase orders you can see.

The cards show every document you can see. They don't follow the search or filters below them. Amounts in other currencies are converted into your studio's default currency.

Good to know

  • Search matches client and supplier names, project names and codes, and the number held in Xero. If a document has never been synced to Xero, search by its client or project instead of its number.
  • The Overdue status in the filter is one you set yourself on an invoice. The Overdue card and the red due dates are worked out from the dates, so they can include invoices whose status still reads Sent.
  • Approved in the filter applies to purchase orders only.
  • Click a client or supplier name to open their contact. Click a project name to open the project.
  • Click ⋯ at the end of a row for View Details, Download PDF, Send to Client or Send to Supplier, Edit, Void or Delete. Options you can't use are hidden.
