Record a refund to a client

Record money you paid back to a client when a credit note was worth more than they still owed.

Who can do this: adminsUpdated

When a credit note is raised against an invoice the client has already paid, the credit is owed back to them. Once you have paid it, record the refund so the books balance.

Before you start

  • You need permission to edit finance.
  • Pay the client from your bank first.
  • If the credit note is in Xero, know which Xero bank account the refund was paid from.

Steps

There is no way to remove a refund in Techstyles. If you record one by mistake, correct it in Xero and let your accountant know.

  1. Open the invoice and find the credit note in the Credit notes panel. It shows how much is "still owed to the client".
  2. Click Record refund.
  3. Check the Amount. It starts at the full amount still owed.
  4. Set Date paid. Future dates aren't allowed.
  5. Optional: add a Reference (optional).
  6. If the credit note is in Xero, choose the account under Paid from (Xero bank account).
  7. Click Record refund.

What happens next

  • If the credit note is in Xero, the refund is recorded in Xero first. If Xero refuses, nothing is recorded here.
  • The panel shows the amount refunded. When nothing is left to refund, Record refund disappears.
  • The refund is recorded in the invoice's History.

You can record a refund in more than one part. You can't refund more than is still owed.
