Cancel an invoice: void or delete it

Delete an invoice while it is a draft, or void it once it has been sent. Both are permanent.

Who can do this: adminsUpdated

Techstyles follows Xero's rules. A draft is deleted. A sent invoice with nothing paid is voided: it stays on record as Void and nothing is owed on it.

Before you start

  • Voiding and deleting are permanent. To bill again, you create a new invoice.
  • If Xero is disconnected, the copy in Xero is left as it is. You'll need to void or delete it in Xero yourself.
  • To void, you need permission to edit finance. To delete, you need permission to delete finance records. Admins have both by default.

Which one you can use

The invoice isYou can
DraftDelete it
Sent or Overdue, nothing paid or creditedVoid it
Part paid or Paid, or has a credit noteNeither. Remove the payments or credits first.
VoidNothing. A void is final.

Void a sent invoice

  1. Open the invoice (or click ⋯ on its row on Finance) and click Void.
  2. Read Void INV-071?. It warns that voiding can't be undone.
  3. Click Void invoice.

Delete a draft invoice

  1. On Finance, click ⋯ on the draft's row and choose Delete.
  2. Confirm in Delete PO/IN?.

Delete several drafts

  1. On Finance, tick the drafts.
  2. Click Delete in the selection bar.
  3. Confirm in Delete Selected Items?.

Anything that can't be deleted is kept, and the message says why.

What happens next

  • Void: if the invoice is in Xero, Xero voids it first, then it is set to Void here. It drops out of Outstanding, Overdue and revenue figures. The void is recorded in its History.
  • Delete: if the draft is in Xero, it is deleted there first, then here. Any linked procurement items are released so they can be invoiced again.

Good to know

  • If Void is greyed out, hover over it to see why.
  • If Xero still holds the invoice as a draft, Xero can't void it. Sync the invoice so Xero approves it, then void it.
  • To cancel only part of an invoice, raise a credit note instead.
