Track an order, its ETA and delivery

Record the delivery date, logistics and tracking number for an ordered item, so everyone knows when it will arrive.

Who can do this: admins and managersUpdated

Once an item is ordered, keep its ETA, logistics and tracking number up to date. The ETA is what Techstyles checks against the required-by date.

Before you start

  • Set the item's Status to Ordered. Until then, Logistics, ETA and Tracking number can't be edited. The item's details say Editable once ordered.
  • Show the Logistics and Tracking number columns from Columns in the toolbar, or use the item's Order tab.

Steps

  1. Open the project and select Procurement.
  2. In ETA, click Set ETA and pick the date the supplier has given you.
  3. In Logistics, choose Not ordered, In transit or Delivered.
  4. In Tracking number, paste the courier's number and press Enter. Hover over it later to copy it.
  5. When the item arrives, set its Status to Delivered, and later Installed.

What happens next

  • If the ETA is later than the required-by date, the item turns At risk with a reason such as ETA 9d after required date.
  • An item that is Ordered, Payment due or In transit with no ETA is flagged Ordered with no ETA.
  • Setting Logistics to Delivered adds a line to the project's activity and, if your studio has connected Slack, posts to your channel.
  • When the status becomes Delivered or Installed, the risk checks stop.
  • Items with the status Delivered count towards N of M delivered in the header.

Good to know

  • Logistics and Status are separate. Setting logistics to Delivered doesn't change the status, so update both.
  • Fill in the ETA and tracking number while the status is Ordered, before you move it on.
  • Tracking numbers can be up to 40 characters.
  • To set the same ETA on several items, select them and use Actions > Set ETA. Only items with the status Ordered are changed.
