Send invoice or Send to Client: what each does
Send invoice records an invoice as issued without emailing anyone. Send to Client emails it. Here is when to use each.
Two buttons use the word "send", and they do different things. Read this before you issue your first invoice so nothing catches you out.
Send invoice (on the Create invoice page)
Send invoice saves a new invoice straight away as Sent.
- It does not email your client. Nobody receives anything.
- It does not notify the client in the client portal.
- If Xero is connected, the invoice goes to Xero already approved, not as a draft.
- Because it is Sent, its items and amounts are locked from the moment you save it. Correcting it needs an admin to unlock it, or a credit note.
Use it when the client already has the invoice another way, for example you are recording one you issued from Xero or sent by hand.
Send to Client (in the invoice's ⋯ menu)
Send to Client emails the invoice.
- The client receives an email with a summary and the PDF attached.
- You can copy in colleagues and add attachments.
- A draft becomes Sent.
- Clients with portal access get a "New invoice" notification.
Use it whenever you want the client to receive the invoice from Techstyles.
The usual way to issue an invoice
- On Create invoice, click Save draft.
- Open the draft and check it.
- On Finance, click ⋯ on its row and choose Send to Client.
Good to know
- Once an invoice is Sent, by either route, it can't go back to Draft. To cancel it, void it.
- The invoice's History shows which happened: "Emailed to …" for Send to Client, or the status change to Sent.
