Move, copy, archive or remove items

Move items between rooms, copy them into another room, archive what you no longer need, or remove items for good.

Who can do this: admins and managersUpdated

Schemes change. Use these actions to reorganise a schedule without losing track of what has been ordered.

Move items to another room

  1. Select the items and click Move to room in the bar at the bottom. For one item, open its ⋯ menu and choose Move to Room.
  2. If any item already has a purchase order, you'll see Items have a PO attached. Moving an item doesn't change its purchase order. Click Continue.
  3. Pick the room and click Move.

Copy items into another room

Useful when two rooms share the same lighting or hardware.

  1. Select items that are all in the same room.
  2. Click Actions > Copy to another room.
  3. Pick the room and click Copy.

The copies keep the product, quantity, unit, required-by date, lead time, price and discount. Their status and approval start again, and they have no purchase order or invoice.

Archive items

Archive an item when it is no longer part of the scheme but you want to keep a record.

  1. Select the items and click Actions > Archive. For one item, use ⋯ > Archive.
  2. To bring items back, switch on Show archived in Filters, select them and choose Actions > Unarchive.

Archived items disappear from the list, the totals, the export and the client and contractor portals.

Remove items

Removing deletes items for good. It can't be undone. If an item might come back, or it is already on a purchase order, archive it instead.

  1. Select the items and click Remove selected. For one item, use ⋯ > Remove.
  2. Confirm in the dialog.

Good to know

  • If you archive an item that is on a purchase order or invoice, that document is flagged as needing review so someone checks it before it is sent or paid.
  • Copies are shared with the client straight away if Client access is on.
  • Rooms are created in the project's Settings > Rooms. If none are listed, add one there first.
