Search, filter and save a view

On a large project the schedule can run to hundreds of items. Search, the quick toggles and the Filters panel help you find the ones that matter right now.

Search

1. Click Search items..., or press f anywhere on the page.
2. Type part of a product name. The list updates as you type.
3. Press Esc to leave the box.

Search looks at product names only.

Quick toggles

• Needs action shows items still waiting on the client's approval, or on a purchase order or invoice step. The number is how many.
• Watchlist shows every item that is Blocked or At risk and not snoozed, plus every item someone is watching.

Click a toggle again to switch it off.

Filter the schedule

1. Click the filter button (the sliders icon) in the toolbar. The Filters panel opens.
2. Choose how filters work:
   • Show only: only items that match are shown.
   • Hide: items that match are hidden and everything else is shown.
3. Set any of these filters:
   • Room and Supplier
   • Approval: Approved, Rejected, Review or Client to purchase
   • PO status and Billing: Created, Sent, Paid or Not created
   • Sample: Requested, Received, Submitted or Not Requested
   • Status
   • Logistics status: In transit, Delivered or Not ordered
   • Required by from and Required by to
   • Comments: Has internal comment, Has client comment or Has any comment
4. To include archived items, switch on Show archived.
5. To keep these filters for next time, click Save view. To start again, click Clear all.

What happens next

• The filter button shows how many filters are active.
• The header totals, the room subtotals and Export all follow what is on screen.

Good to know

• Filters combine, so an item must match every one you set.
• Save view remembers the filters for this project in this browser only. Teammates keep their own views.
• Watchlist and Logistics status aren't saved with the view.
• Items without a required-by date never match a Required by range.
