Read the Revenue & P&L report

See revenue, costs, net profit and margin for a period, for the whole studio and for each project.

Who can do this: admins and managersUpdated

The Revenue & P&L report sets what you invoiced against what you spent, using your invoices, purchase orders and logged time.

Steps

  1. Open Reports > Revenue & P&L and choose a period. It opens on This Year.
  2. Read the four figures at the top: Revenue, Total costs, Net profit and Margin.
  3. Read Revenue, costs and margin, last 12 months. The bars show money and the line shows margin.
  4. Read Per-project P&L: Revenue, Costs, Net and Margin for each project in the period.

How the figures are worked out

  • Revenue: invoices dated in the period, less credit notes. Void invoices are left out.
  • Total costs: purchase orders dated in the period, plus staff cost.
  • Staff cost: hours logged in the period times each person's hourly rate. Non-billable hours count too.
  • Net profit: revenue minus total costs.
  • Margin: net profit as a share of revenue.

Good to know

  • Drafts count as revenue here, and every purchase order dated in the period counts as a cost, whatever its status. The Overview report leaves out draft invoices and counts only approved and paid purchase orders, so the two can differ.
  • Costs in Per-project P&L are purchase orders only. Staff cost is in the studio total, not in each project's row.
  • Anyone without an hourly rate adds nothing to staff cost. See Change a member's role or hourly rate.
  • Bank transactions aren't included. Xero doesn't send them to Techstyles, despite the note at the bottom of the page. See What moves between Techstyles and Xero.
  • Everything is converted into your studio's default currency.
  • This report has no export.
