See and record a client's decision on an item

Mark an item approved, rejected, back in review or client to purchase, and see how you hear about decisions made in the portal.

Who can do this: admins and managersUpdated

Each item on the schedule has an Approval column. Your client's choices in the portal show there. When a client tells you their decision another way, in a meeting or by phone, record it yourself so the schedule stays right.

Steps

  1. Open the project and select Procurement.
  2. Click the item's pill in the Approval column.
  3. Choose the decision:
    • Approved
    • Rejected
    • Review
    • Client to purchase
  4. For Rejected, a box asks Why are you rejecting this?. For Review, it asks What needs reviewing?. Type the reason and click Save.

What each decision does

DecisionWhat happens
ApprovedThe item can go on a purchase order. Techstyles notes when it was approved, which it uses to flag approved items that sit unordered.
RejectedThe item becomes Blocked, drops out of the room subtotals and the total cost, and can't go on a purchase order or be shared with a contractor.
ReviewThe item goes back to waiting for a decision.
Client to purchaseThe client is buying it themselves. It stays on the schedule and can be shared with a contractor, but never goes on a purchase order or invoice.

What happens next

  • A rejection or review reason is posted as the first message in the item's Client thread, marked Reason for rejecting or Sent back for review. The project team is notified, and so is the client if the item is shared with them.
  • If a rejected item is already on a purchase order or invoice, that document is flagged as needing review.

How you hear about decisions made in the portal

  • Approved: everyone following the item gets a notification, for example "Charlotte Pemberton approved Bouclé sofa, three-seat". The project lead, the design lead and whoever added the item also get it by email within the hour if they haven't seen it.
  • Rejected or sent back for review: the client's reason is posted at the top of the item's Client thread, and the team is told "[client] commented on [item]".
  • Client to purchase (the client tapped I'll order): the column changes, but nobody is notified. Check the column, or ask your client to message you.

Good to know

  • A reason is required for Rejected and Review. You can edit it later but not delete it.
  • If the save fails, the box stays open so you don't lose what you typed.
  • Approval can only be changed one item at a time.
  • While an item's status is Ordered, your client can't change their decision in the portal.
  • Projects can allow purchase orders before the client decides. See Raise a purchase order from approved items.
