Share the schedule with your client

Turn on Client access so your client can see every item in their portal, with its price and supplier, and approve or reject it.

Who can do this: admins and managersUpdated

There is one switch for the whole schedule, and no separate "send for approval" step. When Client access is on, your client sees every item that isn't archived, in their portal, and can approve, reject or query each one.

Before you start

  • The project has a client who has been invited to the client portal. See Invite a client to their portal.
  • You are happy for your client to see each item's price and supplier. Read "Check before you share" in What clients and trades see, and see Add markup or hide prices.
  • The schedule is ready for the client to see: names, images, quantities and anything else shown in their portal.
  • Sharing is all or nothing, and it carries on: every item you add while Client access is on is shared automatically. To keep a single item out of the portal, archive it.

Steps

  1. Open the project and select Procurement.
  2. Turn on Client access on the right of the toolbar.

What happens next

  • Every item on the schedule that isn't archived appears on the client's Procurement page, grouped by room, as In review until they decide.
  • The client gets a notification for each newly shared item and one email at their next send time: about 10:00 or 16:00 on weekdays, in your studio's time zone.
  • From now on, every item you add to the project is shared automatically, and the client is told about it.
  • Your client's Monday summary email lists what is still waiting for them.
  • Each item gets a Client thread, so you can talk to the client about it. See Comment on an item.

Turn it off

Switch Client access off. The procurement section disappears from the client's portal straight away. The client isn't notified.

Good to know

  • Rejected items stay visible to the client so they can see the history.
  • The project's Settings > Preferences has a Show procurement switch, which is the same setting. Use Client access instead: only Client access marks the items already on the schedule as shared, so turning on Show procurement alone can leave your client with an empty or partial list.
