Create a project

Set up a new project in six steps, from name and address to client, phases, budget and team.

Who can do this: admins and managersUpdated

The new project wizard walks you through six steps. You can go back to any step you have finished, and change everything later in the project's Settings.

Before you start

  • You need permission to edit projects. Admins and managers have it by default.
  • Have the client's name and email ready. You can pick an existing client or create one as you go.

Steps

  1. Open Projects and click Add project.
  2. Project basics: enter a Project name. A Project code is suggested as you type; change it if you like. Choose a Project type and a Project color, then click Continue.
  3. Property: choose a Property type and enter the Address and City. Add size, rooms and Access & site notes if you have them. Click Add address for a separate delivery or billing address. Click Continue.
  4. Client: type in Search clients and pick the client. If they are new, fill in Client name and Email. Click Continue.
  5. Timeline & phases: set the Start date and Installation date, and a Target completion if you know it. Add phases with Add phase, or start from a studio template. Click Continue.
  6. Budget & team: enter the Total budget and Currency. Check FF&E allocation, VAT rate and Payment schedule. Choose a Project lead, an optional Design lead, and anyone else under Additional team. Click Continue.
  7. Review: check each card. Use Edit on a card to go back to that step.
  8. To invite the client to their portal now, tick Send [client] a portal invitation once created.
  9. Click Create project, then Open project.

What happens next

  • The project is created as Active. VAT and FF&E use your studio defaults if you left them blank.
  • Everyone on the team, you included, gets an in-app notification that they have been assigned to the project.
  • Five message channels are set up: General, Design Updates, Client, Finance and Emails.
  • If you used a template, its tasks are created under each phase, assigned to you, with the phase's dates.
  • If you entered team hours on a phase, an "allocated work" task is created for each person, plus one unassigned revisions buffer task.
  • If you ticked the portal invitation, the client gets an email. A client who is new to the portal receives login details; a returning client is told they have been added to the project.

Good to know

  • Required fields: name, code, colour, address, city, client, start date, installation date, budget and project lead.
  • The installation date must fall between the start date and the target completion date.
  • The design lead must be a different person from the project lead.
  • There is no draft. Cancel & exit throws away everything you entered.
  • Project codes are not checked for duplicates. Pick one your studio will recognise.
  • A new client's email must not already be in your CRM. If it is, pick the existing client instead.
  • If creating fails after you added a new client, the client may already have been saved. Pick them with Search clients when you try again.
