Check workload on the calendar

Turn on the workload heatmap to see booked hours against each person's daily capacity.

Who can do this: admins and managersUpdated

The workload heatmap adds a coloured strip under each day, showing how booked people are.

Steps

  1. Open Calendar and click the settings button.
  2. Switch on Workload heatmap, then click Done.
  3. For one person's load, filter People to that person.
  4. Hover a day's strip to read the hours, for example "6.5h of 7.5h".
  5. For detail, switch to Day view. The Workload row shows each person's hours and who is over.

How the hours are worked out

  • A task's Target time is spread evenly over its days, then shared equally between its assignees.
  • A person's daily capacity is their weekly hours divided by five, or 8 hours if none are set.
  • The strip is green under 80%, amber from 80% to 100%, and red over 100%.

Good to know

  • Only tasks with a Target time count. Hover text says how many tasks have no estimate, so a quiet day may just be unplanned.
  • The heatmap does not know about time off or studio closures. Weekend work always shows as over.
  • Hidden projects, statuses and done tasks are left out of the load.
