Filter the calendar by person, status or project

Show one person's tasks, hide statuses or projects, and change how the calendar is laid out.

Who can do this: admins and managersUpdated

Filters only change what you see. They never change any task.

Steps

  1. Open Calendar and click the settings button at the right of the toolbar.
  2. In Calendar settings, choose a tab:
    • People: to see one person only, click All users to clear everyone, then tick that person.
    • Status: untick the statuses you want to hide.
    • Projects: untick projects to hide them. Use Find a project… to search.
  3. Click Done.

Change the layout

In the same panel:

  • Color tasks by: Project or Status.
  • Week starts on: Mon or Sun.
  • Show weekends and Show completed tasks: switch off to hide them.

What happens next

  • The toolbar shows how many tasks are visible, for example 12 of 40, and a badge on the settings button counts your filters.
  • Your filters are kept in the page address, so you can copy the link to share the same view with another admin or manager.

Good to know

  • When everyone is ticked, clicking a name unticks that person. Clear everyone first to pick just one.
  • With a people filter on, unassigned tasks are hidden. With a project filter on, tasks with no project are hidden.
  • Clear in the toolbar, or Reset filters in the panel, also turns off the workload heatmap and sets colours back to Project.
  • Edit project colors on the Projects tab opens your studio's project colour settings.
