Tasks, calendar and time
How tasks, the studio calendar and time tracking fit together, and who can see and change each task.
Tasks are the work on a project, or work outside any project. You see them in three places, and you log time against them with a timer.
Where tasks live
- My Tasks (sidebar): every task assigned to you, as a board or a list.
- A project's Tasks tab: that project's tasks, one column per phase.
- Calendar (sidebar, under Studio): every dated task in the studio. Admins and managers only.
Every task opens in the same task drawer, where you change its details, add subtasks and comment.
Who can see a task
- The people assigned to it.
- Whoever created it.
- The project's creator, project lead and design lead.
- Every studio manager and admin.
Being on the project team is not enough on its own. A member sees the tasks they are assigned to or created.
Who can change what
| What | Who |
|---|---|
| Status | Assignees, and everyone in the next row |
| Name, description, Priority, Project, Phase, Assignees, archive | The task's creator, the project's creator, project lead and design lead, managers and admins |
| Start date, Due date, Target time | As above, until someone logs time on the task. After that, managers and admins only |
| Billable | Managers and admins |
Time tracking in short
- Start a timer from a task card, from My Tasks, or from the clock in the top bar.
- You can only time tasks you are assigned to. You can also time work that is not on a project with Studio task.
- One timer runs at a time. It keeps running if you close the browser.
- Time Tracking in the sidebar shows your own time for the day, week and month.
