Adjust a week in the capacity plan

Open one person's week, change the days on a line, add studio time, or put the week back to the plan.

Who can do this: admins and managersUpdated

The plan is worked out for you, but you know things it does not. Adjust a week when someone will spend more or less time on a project than the rules suggest.

Before you start

  • Admins and managers can adjust weeks. Members can open their own weeks but not change them.

Open a week

  1. On Capacity, click a cell in Team load. You can also move with the arrow keys and press Enter.
  2. The week opens below the grid, for example "Priya Lancaster · w/c 10 Nov". It shows the days booked against the days available, and each line that makes up the load.
  3. Click Why these numbers to see how each line was worked out. Hide the working closes it.
  4. Use the arrows (Previous week / Next week) to step through weeks.

Change the days on a line

  1. On a line, use − and + to move by a quarter day, or type a number from 0 to 7 and press Enter.
  2. The change saves about half a second after you stop.

Add a line

  1. Click Add a line.
  2. Under Choose a stage or studio time, pick a stage Running this week, or Studio time such as a pitch, new business or admin.
  3. Set the days and click Add.

Put the week back to the plan

  1. Click Reset this week.
  2. Confirm with Discard.

What happens next

  • The cell, totals, findings and figures recalculate straight away.
  • Your change is marked Edited or Added by hand.
  • A note at the bottom confirms the change, with Undo.

Good to know

  • Undo reverses only your most recent change, and only while the week is open.
  • To undo a single edited line later, click Back to plan on it. Setting a line back to its planned figure does the same.
  • Reset this week removes every hand edit for that person and week. Click Undo straight away if you did not mean to.
  • You can't edit while a what-if is on screen. Close the scenario first.
  • On a phone, choose the person from Person and tap a week.
