Read the capacity plan
See each person's load week by week for the next six months, and what the colours, figures and marks mean.
Capacity shows each person's load in each week as a share of their own working week. It is built from your projects' phases and the studio's rules, so you can see a crunch months before it arrives.
Before you start
- Admins and managers see everyone. Members see their own figures and everyone else's colour only.
- The plan needs people set up and project phases with dates. See Set up people and stages for capacity.
Steps
- Open Team, then click Capacity. Members go straight to it from Team in the sidebar.
- Read Capacity at a glance across the top. It always covers the next 26 weeks:
- Admins and managers: Studio load, People over capacity, Peak week and Hire signal.
- Members: Your load, Weeks over your time and Your peak week.
- Read Team load: one row per person, one column per week, with each person's Peak at the end. Admins and managers also see a Studio row.
- Choose 12w or 26w to show more weeks, and use the arrows to move four weeks at a time. Back to this week returns you.
- Choose % or Days to change what each cell shows.
- Click a cell to see that week line by line. See Adjust a week in the capacity plan.
What the colours mean
| Key | Meaning |
|---|---|
| Under 70% | Room to spare. |
| 70–100% | Full, and healthy. |
| 101–130% | Over their time. |
| 131–170% | Well over. |
| Over 170% | Badly over. |
| Closed | The studio is closed that week. |
| Away | The person is on leave all week. |
A clay corner means the line was Edited by hand. A dark outline means the cell is Changed by the scenario in a what-if.
Further down the page
- Programme: each project's stages on the same weeks, with the design lead. Click a stage for its dates and where they came from.
- Out of the studio: trips, installs, surveys and closures from this week on.
Good to know
- Load comes from each active project's dated phases, matched to stages, and the rules in capacity settings. It does not use task estimates or logged time.
- A short week shows the number of open days in its header, for example "3d".
- Projects marked as pipeline are left out. Admins and managers can tick Include pipeline to add them.
- The address keeps your view, so you can share a link to exactly what you are looking at.
- "Capacity is not shared with you." means your role can't open this page. Ask a studio admin.
