Set up people and stages for capacity
Choose who counts towards capacity and how much of the week they work, name your stages, and match project phases to them.
The capacity plan needs two things from you: who is in it, and how your project phases map to stages of work. Without stages, a phase carries no load.
Before you start
- Admins and managers can change these settings.
- Open them from Settings > Capacity, or the gear icon (Capacity settings) on the Capacity page.
Set who counts (People)
- Click People.
- For each person, choose a Discipline: Studio lead, Design, Technical, Procurement or Other. A studio lead also counts as design.
- Set Share of week as a percentage. Leave it empty to work it out from their weekly hours.
- Switch Include in capacity off for anyone who should not be planned, such as an office manager.
Each change saves straight away.
Name your stages (Stages)
- Click Stages.
- Under Stages, edit a stage's name, its usual length in weeks, or its colour.
New studios start with Feasibility & brief, Concept, Developed design, Technical, Procurement, Coordination and Installation. The usual length is used only for phases without dates.
Match phase names to stages
- Under Phase names, go to Add a name.
- Choose Name contains or Name is exactly, type the phase name, for example "styling", and choose the Stage.
- Click Add.
A phase uses the first match from the top. "Is exactly" wins over "contains".
Removing a phase name takes effect straight away, with no confirmation or undo. Add it again if you need it.
Check and fix your phases
- Under Check your phases, click Check phases. Nothing changes when you check.
- Read Matched by name, Set on the phase and Not matched. Phases under Not matched yet carry no load.
- Add a name for them above, then click Apply to and the number of phases to save the matched stage onto each one.
Good to know
- Applying writes the stage onto each phase, so renaming a mapping later will not move them. Phases that already have a stage are left alone.
- Only active members are listed under People.
