Set planning assumptions
Set the standard working week, daily overhead, forecast horizon and hire threshold, plus each person's weekly hours.
Planning settings describe a normal working week. Team > Workload and Forecast, the new-project wizard and proposal effort pricing all use them.
Before you start
- You need access to studio settings. Changing someone's weekly hours also needs Team > Edit.
Set the standard week
- Go to Settings > Planning.
- Under Capacity, set Default weekly hours (1–100) and Daily overhead (0–8 hours spent on email, admin and meetings). The sentence below shows how many plannable hours that leaves each week.
- Click Save capacity.
Set the forecast rules
- Under Planning rules, set:
- Revision reserve (0–50%): the share of allocated hours held back for client revisions.
- Forecast horizon (4–52 weeks): how far ahead Team > Forecast looks.
- Hire signal threshold (50–100%): if studio use stays above this for four weeks or more, Forecast suggests hiring.
- Click Save planning rules.
Set someone's weekly hours
- Under Per-member weekly hours, find the person. Use Search members if needed.
- Type their hours. Leave it blank to use the studio default.
- Click Save weekly hours.
What happens next
- You see "Capacity settings saved", "Planning rules saved" or "Weekly hours saved".
- The new values apply across the studio straight away.
Good to know
- Each section has its own save button.
- A person's weekly hours are also used on the Capacity page when their Share of week is left empty.
- The Capacity page uses its own rules and stages. See Set capacity rules.
