Drawings and files
Where project documents, PDFs and drawing packages live, and who can see and share them.
Each project has two places for documents. Files holds everything: specifications, presentations, PDFs, images and links. Drawings holds drawing packages that go through an approval process before they are issued.
Files
- Organise documents in folders, add web links, and keep every version of a file.
- Mark up PDFs, with comments shared with clients and trades or kept internal.
- Send files to the client portal or share them with contractors.
- Restrict a file or folder to named people.
Everyone with permission to view documents can browse Files. Uploading and managing files needs permission to edit documents, which admins and managers have by default.
Drawings
A drawing package moves through five stages:
Draft → Lead review → Admin review → Approved → Issued
| Who | What they can do |
|---|---|
| Project lead, design lead, studio admin | Create packages, upload drawings, tick the checklist, submit, return, mark review comments done, issue to contractors, send to the client |
| Project lead or studio admin | Approve at Lead review |
| Studio admin | Give final approval at Admin review |
| Everyone else who can open the project | View packages, download drawings and leave review comments |
To submit a package, it only needs one drawing. To share it with a client or contractor, three things must be true:
- The package is Approved or Issued.
- The issue checklist is complete.
- Every review comment on its drawings is marked done.
Who sees what you share
- Anything sent to the client appears in the client portal for every client on the project.
- Anything shared with a contractor appears in that contractor's portal.
- Shared files and packages stay visible until you remove access. A package returning to Draft, or a new version of a drawing, does not take it out of the portals.
- Review comments on drawings stay in the studio. They do not appear in the portals.
