Use a project's task board

See a project's tasks by phase, find a task, move it to another phase and tick it done.

Updated

A project's Tasks tab shows one column for each phase of the project, in schedule order.

Before you start

  • Adding, dragging and ticking tasks on this board needs permission to edit projects (admins and managers by default). Everyone else can open tasks, change status in the drawer, and start timers on tasks assigned to them.

Steps

  1. Open the project and click the Tasks tab.
  2. To find a task, type in Search tasks…. Cards whose name does not match are hidden.
  3. To move a task to another phase, drag its card into that phase's column.
  4. To mark a task done, tick the box on its card. Tick it again to set it back to To do.
  5. Click a card to open it in the task drawer.
  6. To see phases laid out by date, click Timeline. Click the arrow next to a phase to see its dated tasks.

What happens next

  • A moved card changes phase straight away and the change is recorded in the task's Activity.
  • Ticking a task done records it in the studio activity feed, and posts to Slack if the project's channel is set up for completed tasks.

Good to know

  • The counters at the top show active, in progress (in flight) and overdue tasks.
  • Search matches task names only.
  • You can only drag tasks you are allowed to change the phase of. Cards are not reordered within a column.
  • Ticking a task done does not stop a running timer.
  • If the board shows No phases yet, click Add phases to set up the project's schedule.
  • The Timeline progress figure is based on dates, not completed tasks.
