Your data: security, export and leaving
How your studio's data is protected, what you can export, what you can't, your GDPR rights, and what happens if you leave.
Your studio owns its data. This page says what Techstyles does to look after it, exactly what you can take with you, and what you can't. There isn't a single "export everything" button, so if you are leaving, allow time for the steps below.
How your data is protected
What you can control in Techstyles:
- Two-factor authentication for each person's account. See Turn on two-factor authentication.
- Signed-in devices. You can see them and sign out of other devices.
- Roles. Admins choose what each role can do. See Choose what each role can do.
- Restricted files, visible only to admins, the person who added them and the people you choose. See Restrict who can see a file or folder.
- API keys can only read, and you can revoke one at any time. See Create or revoke an API key.
Card details are handled by Stripe and never reach Techstyles.
Our privacy policy says that your data is encrypted in transit and at rest, that we don't sell it, and which providers handle it for us.
Your GDPR rights
Under GDPR and applicable privacy laws, you have the right to access, correct, export or delete your personal data. To use those rights, email hello@techstyles.ai. The privacy policy says we respond within 30 days.
If a client or contractor asks you to remove their details, see Delete contacts for what deleting a contact removes and what it keeps.
What you can export
| What | How | You get |
|---|---|---|
| A project's FF&E schedule | Export on the Procurement tab. Export the schedule to Excel. | Excel, one project at a time. It includes supplier names and your trade prices. |
| Project and time reports | Export on the Projects report, the Hours tab of the Team report, a person's page and a phase's time logs. Open a report, set the period and export. | Excel |
| Invoices, purchase orders and credit notes | Download PDF. Download an invoice or purchase order as a PDF. | One PDF at a time. If you use Xero, your documents and payments are in Xero too. |
| Files | Download on each file. Find, open and download files. | The original file, one at a time. |
| Your Techstyles invoices | Settings > Billing. Manage your studio's billing. | PDFs, with older ones in Stripe. |
| Read access for your own tools | An API key. Connect Claude or another AI assistant. | Projects, FF&E items, tasks, finance and logged hours, read by your tool. Document names only, not their contents. |
What you can't export
There is no export in Techstyles for:
- contacts, in the CRM;
- tasks and comments;
- messages;
- meeting notes;
- proposals and leads.
If you need any of these, email support@techstyles.ai before you leave and ask what can be done. We can't promise it here.
If you leave
- Download what you want to keep, using the table above.
- Cancel your subscription. See Cancel or renew your subscription. Everyone keeps full access until the end of the period you have paid for, then the studio becomes read-only.
- To have your data deleted, email hello@techstyles.ai.
Cancelling doesn't delete anything. While a studio is read-only you can still open and read everything, and export. Client and contractor portals keep working, so tell your clients and contractors, and turn each project's portals off before the end date if you want to close them.
There's no button in Techstyles to delete your own account or your whole studio. Our privacy policy says that if you delete your account, we delete or anonymise your personal data within 30 days, except where the law requires us to keep it. Ask us to do this by email.
If one person leaves your studio
Remove them from the team. They lose access straight away. Their tasks, time logs and other records stay with the studio. If it was their only studio, their Techstyles account is closed.
To disconnect your own Google account, see Connect Gmail to your Inbox. To disconnect Xero, see Disconnect Xero.
